Privacy Policy

This Privacy Policy explains how personal information is collected and used on annamariamatziorinis.ca (this site), including Field Notes subscriptions and the subscriber portal. It should be read together with the Terms and Conditions.

1. Who operates this site

This website is operated by Dr. Anna Maria Matziorinis in her personal / sole-proprietorship capacity in Vancouver, BC, Canada. Paid offerings on this site (including Field Notes) are sold by her personally.

Dr. Matziorinis is also the director of the Hidden Information Labs Institute (HILI), a separate nonprofit. HILI is not the operator of this website and is not the seller of Field Notes. Using this site or subscribing to Field Notes does not create a contract with HILI.

2. What this policy covers

This policy covers personal information processed in connection with:

• Browsing this website
• Purchasing or managing a Field Notes subscription
• Receiving Field Notes by email
• Logging in to the Field Notes subscriber portal
• Contacting the operator by email

3. What we collect

This site is designed to collect as little personal data as possible.

3.1 Information you provide or that is collected to run the service

• Email address: Collected when you subscribe (via Stripe) and used for billing-related notices and for delivering Field Notes. The same address is used to verify portal access.
• Payment information: Processed entirely by Stripe. Payment card data is not stored on or handled by this site. Stripe is PCI DSS compliant.
• Purchase and portal Terms acceptance: Before purchasing Field Notes or logging in to the portal, you must agree to the Terms. Stripe may record Terms acceptance at checkout. For portal login, a record that you accepted the Terms (email, terms version, and timestamp) may be stored in Cloudflare KV so consent can be shown if needed.
• Messages you send: If you email the operator, the content of that correspondence is processed to respond to you.

3.2 Technical information from hosting

Cloudflare hosts and delivers this site. Like most hosts and CDNs, Cloudflare may process technical metadata such as IP addresses and request headers at the network level as part of normal service delivery. That processing may occur on internationally distributed infrastructure. The site operator does not independently run analytics on that metadata for advertising or profiling.

4. What we do not collect

This site does not use analytics packages, tracking pixels, advertising cookies, or third-party advertising trackers. The operator does not collect behavioral browsing profiles for advertising.

Public pages are designed to work without setting cookies for the visitor experience. The Field Notes portal session uses sessionStorage in your browser (cleared when you close the tab), not cookies, for the encrypted session token.

5. How we use personal information

Personal information is used to:

• Process and manage Field Notes subscriptions and payments
• Deliver Field Notes and related subscription email
• Verify active subscriptions and provide portal access
• Record Terms consent where required for purchase or portal login
• Respond to questions and support requests
• Maintain security and reliable operation of the site
• Meet legal, tax, or accounting obligations when they apply

Personal information is not sold. It is not shared for third-party advertising.

6. Service providers (processors / platforms)

These third parties process personal information as needed to run the site and Field Notes:

• Stripe, Inc. (United States) — payments and subscription billing. Stripe acts as an independent controller for payment data under its own privacy policy.
• Brevo (Sendinblue) (France) — email delivery for Field Notes to paid subscribers. Your email is stored by Brevo for that purpose. You may unsubscribe through links in those emails where provided, or by cancelling your subscription and contacting the operator.
• Cloudflare, Inc. (United States) — hosting, content delivery, and related infrastructure (including KV storage used for portal Terms-consent records).

Each provider has its own privacy terms. Using this site means those providers may process data as described in their policies and as needed for the functions above.

7. Retention

Email and subscription records are kept for as long as needed to provide the subscription, handle cancellations, and meet bookkeeping or legal requirements. Portal Terms-consent records in Cloudflare KV are kept to document consent. Browser sessionStorage for the portal is cleared when you close the tab. You may ask for deletion of data the operator controls; some records may need to be retained for a limited time for legal or financial reasons.

8. International transfers

Providers listed above may process data in the United States, France, Canada, or other countries where they operate. Where personal information is transferred internationally, it is processed under those providers’ safeguards and applicable law.

9. Your rights

Depending on where you live, you may have rights to access, correct, or delete personal information, or to withdraw consent where processing is based on consent. In practice, data held for Field Notes is primarily your email address in Stripe and Brevo, plus any Terms-consent record associated with portal login.

Rights under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, other privacy laws (including the GDPR for people in the EEA/UK) are respected. You may also contact the Office of the Privacy Commissioner of Canada or your local data protection authority if you have a complaint.

10. Children

This site and Field Notes are not directed at children. The operator does not knowingly collect personal information from children for these offerings.

11. Changes

This Privacy Policy may be updated from time to time. The updated version will be posted on this page with a revised date. Continued use of the site after an update means you should review the new policy.
